This is an English translation of the Japanese policy. If the two differ, the Japanese version prevails.
Ludo Technologies LLC ("we") handles your information in the iOS app "Gijit" ("the app") as described below.
1. How the app works
The app records meetings and produces a transcript and minutes. Recordings, transcripts and minutes are stored on your device. The minutes are produced through one of two connections:
- Cloud: the recording is sent to a server we operate, which produces the minutes using third-party AI services (ElevenLabs and Anthropic). Before anything is sent, the app shows you who will receive the data and what will be sent, and asks for your consent.
- Self-host: the recording is sent to a server that you or your organization operate. In this case, neither the recording nor the minutes reach us. Handling on that server follows its operator's policy.
Sections 2 to 5 below describe the cloud connection.
2. Information we receive
| Information | Details |
|---|---|
| Recording audio | The meeting audio sent to produce the minutes |
| Glossary terms | Names of people, companies, products, etc. that you register to improve transcription accuracy |
| Transcript and minutes | The transcript, summary, decisions and to-dos produced from the audio |
| User ID | An identifier the app generates per device (not linked to your name or email address) |
| Subscription information | App Store subscription transaction information (whether subscribed, expiry date, transaction ID) |
| Usage time | The total length of the recordings sent each month |
| Device verification token | A token issued by Apple DeviceCheck (to prevent duplicate Free-plan registrations) |
| Notification token | A push notification token used to tell you when processing has finished |
We receive this information when the app sends it to our server: when you send a recording, and when the app verifies your subscription or Free plan.
The app does not collect your name, email address, phone number, location or contacts. It does not show advertising and does not track you across other companies' apps or websites.
3. Purposes
- To produce the transcript and minutes from the recording and return them to your device
- To verify subscriptions and manage the Free plan and monthly usage limits
- To notify you by push notification when processing has finished or failed
- To investigate failures, prevent abuse and improve the service
We do not read or use the content of recordings or minutes for any purpose other than those above.
4. Sharing with third parties
To produce the minutes, we send information to the providers below. ElevenLabs and Anthropic are third-party AI services. On first launch, the app shows a screen that names the recipients, the information sent and the purpose, and sends data only after you agree. You can withdraw your consent at any time in the app's Settings. Under our agreements with them, these providers use the information they receive to perform the processing for this app and provide the same or equal protection of your information as this policy. Their handling is also subject to their own terms and privacy policies.
| Provider | Information sent | Purpose |
|---|---|---|
| ElevenLabs, Inc. (USA) | Recording audio, glossary terms | Speech-to-text and speaker separation |
| Anthropic, PBC (USA) | Transcript, glossary terms | Cleaning the transcript and writing the minutes |
| Apple Inc. (USA) | Subscription transaction information, device verification token, notification token and notification text | Subscription verification, Free-plan management, push notifications |
| Fly.io, Inc. (USA) | All information listed in section 2 (stored in the Tokyo data center) | Hosting our server |
Push notifications contain only the length of the recording (for example, "Minutes ready from a 32-minute recording"), never the content of the meeting.
These providers are located in the United States, so your information is processed outside Japan. Information about the personal data protection regime of the United States is available on the website of Japan's Personal Information Protection Commission.
Except in the cases above and where required by law, we do not provide personal information to third parties without your consent.
5. Retention
- Recording audio: deleted from our server as soon as processing finishes, whether it succeeds or fails. The original audio remains only on your device.
- Transcript and minutes: deleted from our server 7 days after the job is accepted. Whatever the app has received by then remains on your device.
- User ID, subscription information, usage time: kept for as long as needed to manage usage limits and prevent abuse.
- Server logs: record the user ID, transaction IDs and similar data for failure investigation. Older entries are deleted once the logs exceed a fixed size.
6. Information stored on your device
Recordings, transcripts, minutes and glossary terms are stored on your device and deleted when you delete the app. The user ID and the Free-plan credential are stored in the device keychain. They are not synced to other devices, and they remain on the device after you delete the app so that you can continue as the same user if you reinstall it.
7. When recording
Before recording a meeting, tell the participants that it will be recorded and processed by external services, and obtain their agreement.
8. Security
Communication is encrypted with TLS. Access to the server is authenticated with the subscription information or the Free-plan credential, and minutes are returned only to the user who sent the recording.
9. Access, correction and deletion requests
To request disclosure, correction, suspension of use or deletion of your information, contact us at the address below. The app has no accounts, so please include the "User ID" shown in the app's Settings screen.
10. Changes
Changes to this policy are announced on this page. Important changes are also announced in the app.
